Terms of Business

The following terms of business apply to the booking of workshops, courses and personal tuition provided by City and Wild Photography and the purchase of vouchers that may be redeemed as payment (or part-payment) for these activities.

Bookings, payments and cancellations

  1. A contract will exist between us once a payment has been made to book a workshop on an agreed date or purchase a voucher.
  2. A deposit of 25% will be required when booking a workshop unless the booking is made less than 4 weeks before the commencement date (agreed for the workshop or pre-workshop briefing) when the full amount is payable.
  3. You may arrange an alternative date or transfer a deposit to another workshop if you notify us at least 4 weeks before the previously agreed commencement date. We will only refund your deposit if you cancel your booking at least 4 weeks before the commencement date.
  4. If applicable, the balance of the workshop fee is due 4 weeks before the commencement date. We reserve the right to cancel the booking and retain the deposit if you do not make the final payment by the date specified.
  5. You must notify us in writing if you wish to cancel a booking. We will charge a cancellation fee that will be determined based on the period of notice you give us before the commencement date.  We will deduct the following cancellation charges (expressed as a percentage of the full workshop fee) from any refund: 4 to 2 weeks before commencement date 50%; 2 weeks or less before commencement date 100%.
  6. We reserve the right to cancel a booking and make a full refund at any time after receiving a booking or payment.
  7. We reserve the right to alter or cancel a workshop due to force majeure. This includes unusual events and unforeseeable circumstances beyond our control, such as war, threat of war, terrorism, riots, industrial disputes, natural or nuclear disasters, fire, floods, travel restrictions and adverse weather conditions.
  8. We reserve the right to alter or cancel a workshop due to illness or if the minimum number of bookings required to run the workshop is not met.
  9. We will notify you of any significant changes prior to the commencement of a workshop and give you the option to accept the change, transfer to an alternative workshop, or request a refund.
  10. We will not be responsible for any accommodation or travel arrangements other than those specified in the workshop description and will not reimburse any additional expenses you may incur if a workshop is cancelled or amended.

Vouchers

  1. Vouchers must be redeemed within 12 months of the purchase date. The value cannot be refunded or exchanged for cash, unless we are unable to offer the voucher holder a suitable workshop during the period of validity.

Workshop content and activities

  1. Our workshops require flexibility to adapt to changes in the weather and other events beyond our control. The activities outlined in the workshop descriptions must therefore be taken as indicative of the content and events that may take place, and not as a contractual obligation on the part of City and Wild Photography to deliver these elements.

Our responsibilities

  1. We do not accept liability for any loss or additional expenses caused by cancellations or delays to travel services for whatever reason while participating or travelling to and from a workshop. You will be responsible for such losses and any additional expenses.
  2. You will be responsible for obtaining the appropriate insurance cover before attending a workshop. This may include cover for losses, expenses or damages arising from the cancellation of the workshop (in whole or in part), transport cancellations and delays, personal accident or injury, the loss of baggage, personal belongings and money, and the loss of or damage to other equipment.
  3. You will be responsible for checking that you are fit to participate on a workshop before making a booking and for informing us if you require special arrangements to meet your individual needs.
  4. We reserve the right to assess whether an individual is fit to attend and may refuse to accept the attendance of any person who cannot be safely accommodated on the workshop.

Camera equipment

  1. You will need a DSLR, mirrorless or compact system camera for most of our workshops – although a camera phone will be sufficient for Photo Fun activities.

Special dietary requirements

  1. You should notify us prior to the workshop, and preferably at the time of booking, if you have any special dietary requirements. We will discuss these requirements with the third parties that we use to provide meals and refreshments during a workshop but cannot guarantee that these requests will be met in all cases.

Performance and feedback

  1. You must inform the workshop leader immediately if you have any complaints or need to raise issues related to the performance of this contract. If the workshop leader is unable to resolve the issue at the time, you should make your complaint known to us in writing within 28 days of the completion of the workshop.

Third parties

  1. We shall not be responsible for any loss or damage arising from the negligent act and/or omission of any third-party supplier, service provider or their employees or agents.
  2. We will not be held responsible for the performance or non-performance of any third-party supplier or service provider.
